Who we are

SearchLondonHomes.com is operated by Oak and Key Real Estate Brokerage Inc. (“we,” “us,” or “our”), a registered Ontario real estate brokerage. We are committed to protecting your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada’s Anti-Spam Legislation (CASL), and applicable Ontario privacy law.

Information we collect

When you register or use our services, we collect:

• Account information: name, email address, phone number, and consent to communications.
• Search activity: saved searches, saved property favourites, custom map areas you draw, applied filters.
• Listing views: which listing detail pages you visit (used to refine the relevance of your alert emails).
• Affordability profile: income, down payment, and monthly debts — only if you choose to enter them.
• Property valuation and showing requests: address, property details, message, preferred showing times.
• Consent records: exact text you agreed to, version, timestamp, IP address, and user agent (CASL audit requirement).
• Device information: browser type, IP address, pages visited, time on page.

How we use your information

• To send daily listing alert emails matching your saved searches.
• To send transactional emails such as your welcome message and showing-request confirmations.
• To improve the relevance of property recommendations based on your browsing activity.
• To respond to your inquiries, showing requests, and valuation requests.
• To connect you with a licensed real estate representative for buying or selling.
• To analyze aggregate site usage and improve our platform.

Third-party service providers

We use the following service providers to operate the platform:

• Supabase Inc. — authentication, database, and file storage (hosted on AWS, Canada or US regions).
• Amazon Web Services (SES) — transactional and marketing email delivery.
• Repliers Inc. — MLS® listing data feed.
• Mapbox Inc. — interactive map display, geocoding, and commute-time isochrones.
• Vercel Inc. — website hosting and content delivery.
• Follow Up Boss — customer relationship management (lead activity timeline). Only personal information necessary to manage your inquiry is shared.
• Google Analytics — anonymous site usage statistics (only loaded if you accept analytics cookies).

We do not sell your personal information to third parties. We share your information with our service providers only to the extent necessary to deliver the services described above.

Cookies and tracking

We use a limited set of cookies for essential site functions (authentication, session, saved preferences). We also use Google Analytics for anonymous usage statistics — analytics cookies are only set after you click “Accept” on the cookie banner shown on your first visit. You can withdraw this consent at any time by clearing your browser storage and choosing “Essential only” on your next visit.

Your rights

Under PIPEDA, you have the right to:

• Access the personal information we hold about you. Logged-in users can download a full JSON export from /account/data.
• Request correction of inaccurate information.
• Withdraw consent for email communications at any time by clicking unsubscribe in any email, or by toggling communication preferences on /account/communications.
• Request deletion of your account and personal data from /account/delete. Limited records may be retained for legal/regulatory compliance (consent records, past showing requests).
• Make a complaint to the Privacy Commissioner of Canada.

Data retention

Account data is retained for as long as you maintain an account. When you delete your account, we delete or de-identify your data within 30 days, except where retention is required by law (CASL consent audit trail, real estate transaction records).

Security

We use industry-standard safeguards to protect your information including TLS encryption in transit, encryption at rest by our cloud providers, role-based access controls, and row-level security policies on our database. Despite our efforts, no method of internet transmission is 100% secure.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated by email to registered users at least 30 days before they take effect. The “Last updated” date above reflects the most recent revision.
