Who we are

SearchLondonHomes.com is operated by Oak and Key Real Estate Brokerage Inc. (“we,” “us,” or “our”), a registered Ontario real estate brokerage. We are committed to protecting your personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada’s Anti-Spam Legislation (CASL), and applicable Ontario privacy law.

Information we collect

When you register or use our services, we collect:

• Account information: name, email address, phone number, and consent to communications.
• Search activity: saved searches (including any map area you draw or search and then save), saved property favourites, applied filters.
• Listing views: which listing detail pages you visit (used to refine the relevance of your alert emails).
• Affordability profile: income, down payment, and monthly debts, only if you choose to enter them.
• Property valuation and showing requests: address, property details, message, preferred showing times.
• Consent records: exact text you agreed to, version, timestamp, IP address, and user agent (CASL audit requirement).
• Email engagement: whether and when you open our listing alert emails, and which links you click. Opens are detected by a small invisible image in the email. If you prefer not to be counted, most email apps let you block remote images, and doing so does not affect the emails you receive.
• Device information: browser type, IP address, pages visited, time on page.

How we use your information

• To send listing alert emails matching your saved searches.
• To send transactional emails such as your welcome message and showing-request confirmations.
• To improve the relevance of property recommendations based on your browsing activity.
• To understand which alerts are useful, whether they are opened and which homes are clicked, so we can send fewer, better ones, and so your agent knows which properties interest you.
• To respond to your inquiries, showing requests, and valuation requests.
• To connect you with a licensed real estate representative for buying or selling.
• To analyze aggregate site usage and improve our platform.

Third-party service providers

We use the following service providers to operate the platform:

• Supabase Inc.: authentication, database, and file storage (hosted on AWS, Canada or US regions).
• Amazon Web Services (SES): transactional and marketing email delivery.
• Repliers Inc.: data feed from the MLS® System.
• Mapbox Inc.: interactive map display, geocoding, and commute-time isochrones.
• Vercel Inc.: website hosting and content delivery.
• Follow Up Boss: customer relationship management (lead activity timeline). Only personal information necessary to manage your inquiry is shared. If you accept cookies, the Follow Up Boss Pixel also records the pages you view on this site. It can only connect that activity to you after you submit a form here that includes your email address; before that, and if you decline cookies, it records nothing about you.
• Google Analytics: anonymous site usage statistics (only loaded if you accept analytics cookies).
• Meta (Facebook/Instagram): when we run advertising campaigns, the Meta Pixel measures which ads lead to enquiries. It is only loaded if you accept analytics cookies, and it records nothing about you if you decline.

We do not sell your personal information to third parties. We share your information with our service providers only to the extent necessary to deliver the services described above. Your phone number and your consent to receive text messages are never shared with or sold to third parties for their own marketing.

SMS Terms and Conditions

The SMS messaging program on this site is operated by COLIN ABBOT REAL ESTATE INC.

1. We use SMS to confirm appointments, send reminders, and notify clients of schedule updates or important changes.
2. You can cancel the SMS service at any time. Just text "STOP". After you send the SMS message "STOP" to us, we will send you an SMS message to confirm that you have been unsubscribed. After this, you will no longer receive SMS messages from us. If you want to join again, just sign up as you did the first time, and we will start sending SMS messages to you again.
3. If you are experiencing issues with the messaging program, you can reply with the keyword "HELP" for more assistance, or you can get help directly at colin@abbotrealestate.com.
4. Carriers are not liable for delayed or undelivered messages.
5. As always, message and data rates may apply for any messages sent to you from us and to us from you. Message frequency may vary. If you have any questions about your text plan or data plan, it is best to contact your wireless provider.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

Cookies and tracking

We use a limited set of cookies for essential site functions (authentication, session, saved preferences). We also use Google Analytics for anonymous usage statistics, and the Meta Pixel when we are running ads. Analytics and advertising cookies are only set after you click “Accept” on the cookie banner shown on your first visit. You can change your mind at any time using the Cookie preferences link in the footer, which clears your saved choice on this device and asks again.

If you arrive from an ad

When you reach this site by clicking one of our ads, the link carries campaign identifiers: Google’s gclid, Meta’s fbclid, and utm_ tags naming the campaign. We save those, along with the first page you landed on and the site you came from, in your browser’s local storage. This happens when you arrive, before you answer the cookie banner, and it is not covered by that choice. We do it so we can tell which advertising is worth running. It stays on your device and is sent to us only if you choose to contact us. A showing request, a home valuation, listing alerts or creating an account all count, and at that point it is attached to your enquiry in our CRM so we know how you found us. It is not shared with Google or Meta, and it is not used to show you ads elsewhere. Clearing your browser storage removes it.

Your rights

Under PIPEDA, you have the right to:

• Access the personal information we hold about you. Logged-in users can download a full JSON export from /account/data.
• Request correction of inaccurate information.
• Withdraw consent for email communications at any time by clicking unsubscribe in any email, or by toggling communication preferences on /account/communications.
• Request deletion of your account and personal data from /account/delete. Limited records may be retained for legal/regulatory compliance (consent records, past showing requests).
• Make a complaint to the Privacy Commissioner of Canada.

Our iPhone app

• Location: the app asks for your location only when you tap Nearby or search around you. It is rounded to about a kilometre and sent with that one search. It is not saved to your account and is never tracked in the background. You can turn location off at any time in iOS Settings.
• Push notifications: if you allow them, we store your device's push token to send the listing alerts and messages you opted into. The token is deleted when you sign out of the app, when you delete your account, or when Apple reports it is no longer valid, such as after you remove the app. You can turn notifications off at any time in iOS Settings.
• The app does not include the Meta Pixel or any advertising tracking.
• Face ID and Touch ID are handled by your phone. No biometric data is sent to us or leaves your device.

Data retention

Account data is retained for as long as you maintain an account. When you delete your account, we delete or de-identify your data within 30 days, except where retention is required by law (CASL consent audit trail, real estate transaction records).

Security

We use industry-standard safeguards to protect your information including TLS encryption in transit, encryption at rest by our cloud providers, role-based access controls, and row-level security policies on our database. Despite our efforts, no method of internet transmission is 100% secure.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated by email to registered users at least 30 days before they take effect. The “Last updated” date above reflects the most recent revision.
